Building The Business Data Foundation

Your company already has valuable data in its CRM, job systems, accounting, activity records and shared documents. BH Tech maps the relevant sources, organizes their fields, connects the records and checks the result—creating a usable business database while keeping existing tools where practical.

Existing CRM, job, activity, accounting, people and document records enter a data workshop: map sources, clean and standardize, connect customer, job, invoice and payment records, reconcile uncertain links, and prepare data for reporting, AI tools and business systems.

Fictional Worked Example

Crestline Facility Services

Crestline Facility Services is a fictional commercial maintenance company. It keeps its CRM, work order system and accounting software. This example uses one agreed snapshot export from each source and assumes no credits, write-offs, taxes or fees. All names, IDs and amounts are fictional.

For Each Customer, How Much Completed Work Has Been Invoiced, How Much Has Been Collected, And Which Invoices Remain Open?

The finance lead confirms the totals match the accounting export. The account manager resolves AR-2290 before it is linked or counted. The answer reflects this snapshot only and says nothing about profit, cause or future payments.

Three invoices are stored once. Four payments are summed separately. The missing activity link on JOB-102 needs review; it is not a confirmed zero. This snapshot contains no credits, write-offs, taxes or fees. Invoiced and collected amounts are different measures; neither is a profit calculation.

The Two Foundations

Data First. Company Knowledge Alongside It.

Foundation One organizes what the business has recorded. Foundation Two organizes SOPs, responsibilities, definitions, business rules, workflows, expertise and goals—the operating knowledge people and AI need to interpret the data and act appropriately.

The operational AI layer gives the connected data its company-specific meaning and guidance.
